Email: mailboxes, clients, and deliverability

How to create mailboxes from the portal, connect a mail client, and why mail sent from Candor Host actually reaches inboxes.

Email hosting is included on every plan — real mailboxes with IMAP/SMTP and webmail, not a trial or an upsell. You create and manage them yourself, and outbound mail goes through infrastructure built so your messages land in inboxes, not spam folders.

These are plan-wide totals, and they come from the same configuration files that provision your account — the same numbers published on the platform page.

Mailboxes are dynamically sized. We don’t carve your storage into fixed per-mailbox quotas; each mailbox simply grows with what’s in it. No “your mailbox is full” surprises caused by an arbitrary slice you set two years ago.

Creating a mailbox

You can create mailboxes without leaving the customer portal:

  1. Log in at my.candorhost.com and open your hosting service.
  2. Under Email & domains, open the Email accounts tab.
  3. Type the part of the address left of the @ — the domain is fixed to your site’s primary domain.
  4. Set a password. Use at least 8 characters, mixing letters, numbers, and symbols.
  5. Click Create email account.

The new address appears in the list at the top of the tab, and your service overview shows how many mailboxes you’ve used out of your plan’s total.

To remove a mailbox, click Delete next to it. Fair warning, and the portal repeats it before it does anything: deleting a mailbox permanently removes the mailbox and all its messages. Download anything you want to keep first.

For everything beyond creating and deleting — connection settings and the rest of mail management — click Open control panel on your service page. It signs you straight into the control panel, no second password.

Connecting a mail client

Mailboxes speak standard IMAP (for reading mail) and SMTP (for sending), so they work with any client you already use — Apple Mail, Outlook, Thunderbird, your phone’s built-in mail app.

We won’t print server names here and risk them going stale: the exact incoming and outgoing server hostnames and ports for your account are shown in the control panel, which is always current. Open the control panel from your service page and look up the connection settings for your mailbox — the username to use is shown there too.

If you’d rather skip client setup entirely, webmail is included — you can read and send mail in a browser. It’s available from the control panel.

Why your mail actually lands

Most shared hosts send customer email from an IP address shared with thousands of strangers. One spammer on that IP and everyone’s mail starts going to junk — and there’s always one spammer. This is the quiet reason “email from my website goes to spam” is such a common complaint.

We handle it differently:

  • A dedicated outbound IP address, used only by Candor Host customers. Its reputation is ours to protect, and it isn’t shared with strangers.
  • SPF and DKIM are configured automatically for every domain — the DNS records that let receiving servers verify your mail is really from you. You don’t have to know what those acronyms mean.
  • We monitor deliverability continuously, from the outside, so a reputation problem is something we catch — not something you discover when a customer says they never got your invoice.

One honest caveat: automatic SPF/DKIM setup applies when your domain’s DNS is hosted with us. If your DNS lives elsewhere, those records have to be published there — contact us and we’ll hand you the exact records to add.

DNS and email

Mail routing is just DNS: MX records tell the internet where your domain’s mail should be delivered. If your DNS is with us, this is set up as part of your account, and you can see the full zone and manage your records — MX included — from the DNS Records tab in the portal (a few system records are locked, on purpose). If you edit MX records by hand, be careful: a wrong MX record means bounced mail, and unlike a broken web page, senders won’t always retry.

Bringing your existing email to us

Migrations are free and done by hand, by us — mailboxes and messages included, not just your website. Email migrations@candorhost.com or open a ticket; we’ll reply within one business day to schedule the move, and once a migration is underway it gets priority attention until it’s done. Automated monitoring runs 24/7, and Candid Support is the same for every plan — no priority tiers. Open a ticket with the address involved, what client or webmail you’re using, and any error message word-for-word; you’ll have a first response within one business day.
